Urban Fireplaces Ltd is a leader in the industry and looking to expand the crew.

Position Summary:

Coordinates with installation teams, service technicians, subcontractors and customers to schedule and dispatch installations, deliveries, and service work. This role ensures jobs are properly planned, sites are ready, schedules are optimized and changes are managed efficiently throughout the day.

Responsibilities:

Scheduling & Coordination
• Prioritize installations, service calls, and site visits
• Work with customers to schedule when UrbanFP will be on site
• Ensure job sites are ready by asking the appropriate pre-install and service questions
• Use TeamUp to schedule installation and service teams
• Review site reports and reschedule work when required
• Schedule subcontractors when needed
• Coordinate with the warehouse to confirm parts readiness and order pickups

Live Dispatching
• Assign jobs to technicians and installers throughout the day
• Adjust schedules for emergency calls, cancellations, or technician delays
• Track technician progress and timing
• Communicate ETAs, delays, and schedule changes to customers

Communication
• Provide clear job details and instructions to technicians
• Maintain friendly, professional communication with customers
• Work closely with sales, operations, warehouse, and administrative teams

Administration
• Update job statuses and documentation in TeamUp or other systems
• Enter clear notes for jobs requiring return visits or special instructions
• Ensure accurate recording of time, materials, notes, and photos
• Assist with follow-up scheduling, warranty work, and repair coordination

Qualifications and Requirements:

– Willingness to learn
– Previous experience in dispatching/scheduling is required
– Previous construction/fireplaces is preferred
– Sound judgment, common sense and a strong work ethic
– Ability to work in a fast paced environment

Compensation:

– Semi annual bonuses based on performance
– Extended medical and dental are available after 3 months of probation
– Group RSP’s are available after 1 year
– Casual attire
– Parking on site
